AI Employis ("we", "us", "our") operates the website at aiemployis.com and the connected niche-product sites in the AI Employee Network (collectively the "Service"). This policy describes how we collect, use, share, and protect personal information.

This policy covers two distinct relationships: (1) Site visitors — anyone visiting aiemployis.com or filling out a form on it, and (2) Customers — shops who deploy an AI Employee. The data flows are different for each; we treat them separately below.

1. Site visitor data

When you visit aiemployis.com or any site in the network, we collect a small amount of standard analytics data: page views, referrer, approximate location (city-level), device and browser type. This is processed via Google Analytics 4 and (where applicable) Meta Pixel, both configured for IP anonymisation where supported.

If you submit a form (book a demo, contact us, request a quote), we collect the information you provide. That includes name, email, phone, company, trade, and any free-text message. We use this only to respond to your inquiry and to send the follow-up communications you'd expect from a sales process.

We do not sell visitor data. We do not share it with third parties for marketing purposes. We do retain it for as long as you remain a sales prospect, plus a reasonable record-keeping period after.

2. Customer data (AI Employee deployments)

When a shop becomes a customer and deploys an AI Employee, the AI Employee processes inbound conversations — phone, SMS, web chat, lead form — between that shop and its end customers (homeowners, property managers, etc.).

This data belongs to the customer (the shop). We process it only as a service provider, on the customer's behalf, under the terms of the customer's agreement with us and any applicable Data Processing Addendum (DPA).

Specifically, for customer deployments:

  • End-customer conversation data (transcripts, qualification answers, recordings where applicable) is stored encrypted at rest and in transit.
  • Access is restricted to the customer's authorized users, plus the AI Employis team members who require it to operate and improve the deployment.
  • Retention follows the customer's instructions in the DPA, with a default of 18 months for active conversations and 36 months for booked-job records.
  • Deletion on customer request is honoured within 30 days, subject to legal retention requirements.

We use anonymised aggregate data (e.g. average response times, qualifier success rates) to improve the network's AI Employees over time. We do not use customer-identifiable conversation content to train models that benefit other customers without explicit written agreement.

3. How we use site-visitor data

We use the data we collect from site visitors for the following limited purposes:

  • To respond to inquiries you've submitted (demo requests, contact forms, etc.).
  • To send you follow-up communications relevant to your inquiry — we don't send unsolicited marketing email.
  • To improve the website (which pages are working, where visitors drop off, etc.).
  • To comply with legal obligations (record keeping, tax, regulatory).

4. Sharing

We share data with the following categories of third parties, all under appropriate contractual protections:

  • Hosting and infrastructure: Cloudflare (CDN, Workers, KV), Google (Cloud, Workspace), GoHighLevel (CRM).
  • Communications: Twilio (SMS), Resend (transactional email).
  • Analytics: Google Analytics 4, Meta Pixel (configured for anonymisation).
  • Payment processing: Stripe (for paid customers).

We do not sell personal data. We do not share data with advertising networks beyond standard pixel-based attribution.

5. Cookies

We use cookies for essential site functionality, analytics, and (on relevant landing pages) ad-attribution. We don't currently operate a granular cookie consent banner; if you prefer to opt out of analytics, you can do so via your browser's privacy controls or via the Google Analytics opt-out browser add-on.

This will change as we add EU and California-specific consent flows during 2026.

6. Your rights

Depending on where you're located, you may have rights to access, correct, delete, port, or restrict the processing of your personal data. To exercise any of these rights, email privacy@aiemployis.com. We respond to substantive requests within 30 days.

For California residents (CCPA): we do not sell personal information. We do not share personal information for cross-context behavioral advertising in the CCPA sense.

For EU/EEA / UK residents (GDPR): the legal basis for our processing is (a) legitimate interest in operating the Service, (b) contract performance for customer deployments, and (c) consent for marketing communications and non-essential cookies.

7. Security

We follow standard industry practices: TLS in transit, AES-256 at rest, role-based access control, audit logging, and regular review. The detailed security and operational practices are documented on our security page.

8. International transfers

We process data in the United States and (for some infrastructure) the European Union. Where we transfer personal data across borders, we rely on appropriate safeguards: Standard Contractual Clauses, adequacy decisions where applicable, and additional measures specified in our DPA.

9. Children

The Service is not directed at children under 16. We don't knowingly collect data from children. If you believe we've inadvertently collected such data, contact us and we'll delete it.

10. Changes

We'll update this policy when we materially change how we process data. The "Last updated" date at the top of this page tracks each revision. Material changes are also communicated to active customers directly.
